Privacy Policy
Last updated
This policy explains how IOPIA handles website technical information and inquiry correspondence, including related discovery, requested proposals and appropriate discussion records. The contact form records your inquiry in IOPIA's inquiry database and notifies IOPIA's support mailbox. We do not sell inquiry information or share it for third-party marketing.
Who we are
IOPIA is the brand of IOPIA LLC, a North Carolina limited liability company. This policy explains information handling connected with iopiatech.com and related inquiry correspondence. “We” and “IOPIA” mean IOPIA LLC. For privacy questions or requests, email support@iopiatech.com.
What this policy covers
This policy covers website technical information, inquiry correspondence, related discovery and requested proposals. Information processed while delivering contracted services may also be described in engagement-specific privacy, data-processing or access arrangements. Those arrangements do not remove rights or obligations under applicable law. Please do not send client datasets, account credentials or regulated records in an initial inquiry.
Information the website collects
The contact form asks for your name, work email address, phone number, at least one service interest (with a short description of what you need if you choose "Other") and a message. Company, website, timeline, current tools and budget planning details are optional. Budget details are your estimates, not prices or commitments.
With your inquiry, the form sends the service page you asked from, the page and button you used, the time the form was opened (to detect automated submissions) and a random submission ID that prevents duplicates. A hidden spam-check field is not stored. IOPIA records the time the inquiry was received.
Hosting and security providers process technical request information, such as IP address, browser and request details, to operate and protect the website. Security cookies and other technical storage may be involved depending on the configuration. The contact form uses Cloudflare Turnstile, a security check that processes browser and device signals to tell people from automated submissions. To limit abuse, IOPIA's inquiry service keeps short-lived submission counters keyed to a one-way, secret-keyed hash of your IP address; the IP address itself is not stored with your inquiry. The website uses no advertising pixels, Google Analytics, Google Tag Manager, active analytics service, customer logins or website payments.
How the contact form works today
When you send the form, it goes to IOPIA's inquiry service, which checks it, records it in IOPIA's inquiry database and then emails a notification with your inquiry details to IOPIA's support mailbox, support@iopiatech.com. The confirmation page appears only after your inquiry has been recorded. The notification is sent separately and is retried if it is delayed, so the confirmation does not mean the email has already arrived.
You do not receive an automatic confirmation email. If the form cannot record your inquiry, it tells you and keeps what you entered so you can try again or email support@iopiatech.com instead. Emails you send directly are received in IOPIA's Microsoft 365 business mailbox.
Planned changes to the contact form
Any change to what the contact form collects, where inquiries are stored or who is notified will be described here before it takes effect.
Planned — not yet operatingAnalytics, advertising measurement and customer logins are separately planned possibilities. Before any activation, IOPIA must verify the actual collection, cookies/storage, recipients and data flows, complete the applicable legal assessment, update disclosures and implement and test required consent or opt-out controls. Plans do not authorize unrelated marketing or advertising-audience uploads of submitted inquiry details.
How we use information
We use inquiry information to respond to your request, conduct related discovery and follow-up, prepare proposals you request and maintain appropriate records of those discussions. Technical information is used to operate and protect the website.
We do not sell inquiry information or share it for third-party marketing. We do not automatically enroll contacts in newsletters, upload submitted details to advertising audiences or use them for unrelated marketing. Additional uses require separate assessment and appropriate disclosures and permissions.
Service providers
Cloudflare provides website hosting, DNS, delivery and security-related technical processing, runs IOPIA's inquiry service and database, and provides the Turnstile security check. Microsoft 365 provides IOPIA's business email, including the dedicated mailbox that sends inquiry notifications to IOPIA's support mailbox. Your own email provider also handles messages you send to IOPIA directly. Planned measurement services are described as future features, not current recipients of form submissions.
Service providers process information as needed to provide the relevant services. Information may also be disclosed where required by law or where legally permitted and necessary to establish, exercise or defend legal rights or address security incidents, subject to applicable safeguards. This does not permit sale or third-party marketing sharing of inquiry information.
Provider privacy terms describe their own processing; they do not replace IOPIA's obligations.
How long we keep information
The retention policy for ordinary inquiries that do not become engagements is six months after the last substantive inquiry-related exchange, subject to applicable legal requirements and documented preservation exceptions.
This period does not establish retention periods for customer engagements, contracts, invoices, logs or backups. Those records require separate retention criteria based on their purposes and applicable requirements. Relevant factors include whether records document a service relationship, recordkeeping obligations and the need to preserve evidence of a dispute.
An inquiry sent through the form exists in IOPIA's inquiry database and as the notification email in IOPIA's support mailbox, together with any later correspondence. Deletion is not automatic: it is carried out by IOPIA, and each copy is handled separately. A routine deletion or deletion request may be subject to a documented legal hold or another applicable exception. The six-month period is not a promise of automatic deletion from every system. Email copies, recoverable items, provider restore features, exports and backups require separate handling under the arrangements that apply to them.
Security
The website uses static pages. The inquiry service accepts submissions only from this website, verifies the Turnstile security check on the server, limits repeated submissions and records operational events without the contents of your inquiry. Inquiry notifications are sent from a dedicated mailbox whose sending permission is restricted to that mailbox.
No method of transmission or storage is completely secure. Please do not include passwords, payment card numbers, health records or other sensitive information in the contact form or an initial email. Sensitive or regulated engagements require a separate suitability assessment.
Your choices and requests
You choose what to send, and optional form fields can be left blank. You can also email support@iopiatech.com instead of using the form.
To request access to, correction of or deletion of information you provided, email support@iopiatech.com. Requests are logged and identity or authority is verified proportionately, without unnecessary sensitive identification. We handle requests under applicable law, explain applicable exceptions and observe the response periods it requires. Depending on the facts and applicable law, additional rights or a review or appeal route may apply.
You are not required to waive applicable rights or provide unnecessary sensitive identification.
Children's information
This website is intended for businesses and their representatives and is not directed to children. If you believe a child has provided personal information, contact support@iopiatech.com. IOPIA will assess and handle the information as required by applicable law.
Changes to this policy
We keep dated versions of this policy and update it when relevant practices change. Affected people will be notified of material changes relevant to them, with any additional notice or consent required by applicable law. Changes to a website policy do not retroactively amend signed engagement agreements; those agreements follow their amendment process. New collection or tracking practices require updated disclosures and applicable controls before activation.
